These instructions are for Microsoft Outlook 2013 and 2016
Step 1. Click the File tab on the Home page and then click Add Account
Step 2. Manual Setup
Select the radio button for Manual setup or additional server types and then click Next.
Step 3. Select the radio button for POP or IMAP and then Next.
Step 4. IMAP and POP Account Settings:
User Information
- Your Name: The name you want it to appear in sent emails.
- Email Address: This is the full email address [email protected] or username@domainname.
Server Information
- Account Type: This will be POP3 (POP) or IMAP, depending on your preference. IMAP is generally recommended for its ability to keep email in sync across multiple devices (desktop, laptop, phones, and tablets).
- Incoming mail server: imap.company.com (IMAP) or pop.company.com (POP).
- Outgoing mail server: smtp.company.com (SMTP) is used for both POP and SMTP.
Login Information
- Username: This is your full email address.
- Password: Is the email account password.
Require logon using Secure Password Authentication (SPA) must NOT be checked. SPA is not the same as SMTP authentication.
Click the More Settings button, and then select the Outgoing Server tab.
Step 5. Outgoing Server Settings (SMTP) - This used for both incoming servers IMAP and POP:
- Click My outgoing server (SMTP) requires authentication.
- Click the Use same settings as my incoming mail server
- Click Log on to incoming mail server before sending mail if IMAP is the incoming server. Do not click if the incoming server is POP
Select OK and then the Advanced tab
Step 6. Configure Ports and Encryption
Incoming server IMAP Settings
- Incoming port 993 and Use Defaults
- Incoming Server: imap.company.com: Encryption SSL and Port 993
- Encrypted connection: None
- Outgoing server SMTP port 993
- Encrypted connection: None
Incoming server POP3 (POP) Settings
- Incoming server POP port 465
- SSL is not checked
- Encrypted connection: None
Outgoing mail server SMTP is used for both IMAP and POP3
- SMTP Company.com
- IMAP & POP outgoing server Port 465 (recommended)
- Once complete, click OK to return to the previous window.

Congratulations! Your Outlook email is set up.
Note: If you are having issues with the set try using a different client like Mozilla Thunderbird. Also, try the outgoing server port numbers 587, 25, and/or 465.
